Attach Documents on HCM

This new feature allows HR Generalists to attach documents directly to employee profiles in HCM. You can add documents either during the initial hire request or directly on the employee profile.

Documents to Attach:

  • New Hire Paperwork
  • Offer and Promotion Letters
  • Pay Rate Changes
  • Warnings (Verbal/Written)
  • Performance Improvement Plans (PIPs)
  • Constructive Counseling Documents
  • Dismissal and Resignation Letters

Documents NOT to Attach:

  • Employee Relation Notes
  • IDs
  • Taxes
  • Medical Records
  • Background Check Forms

FAQ-

How does this affect our standard procedures for hiring, terminating, promoting, and transferring employees?
The process remains unchanged; the only difference is that you’ll now be attaching documents to new hires and employee profiles. Files should still be stored at the unit, with the added step of attaching a copy to HCM.

What types of documents can I add, and what should I title them?
Attach only PDFs to prevent alterations. Title the attachments accordingly. For example, an offer letter should be named “Offer Letter”, a promotion letter should be named “Promo Letter”, a resignation letter should be named “Resignation Letter”,etc.

How many documents can I attach?
Currently, there is no maximum limit on the number of documents you can attach, but only one file can be attached at a time.
